Booking

A booking for any of our payable activities is only confirmed once full payment has been received. Full payment for the course is required 4 weeks before the start date of the course. Payments are accepted via the National Navigation Award Scheme payments portal or directly on BACS instructions provided by us at the time of booking.

To finalise your booking you must complete the Medical Declaration and Informed Consent forms.

If the booking fee is not paid 4 weeks prior to the start of the course, Mind and Body Walking will view this as a cancellation by you.

In the event you are late for the event and miss the start time, no refund will be offered.

Cancellation Policy

Cancellation by client (You)

All cancellations must be in writing or by email. You will be charged the following cancellation fees:

  • 4 weeks’ notice or more – 75% refund
  • Between 2 to 4 weeks’ notice – 50% refund
  • Less than 2-week notice – no refund
  • Alternatively, you can transfer your booking to an alternative date within the same calendar year if available.
  • If you are unable to book an alternative date I will attempt to resell your original course place and if successful will reimburse you the full amount

Cancellation by MIND AND BODY WALKING

Whilst every attempt is made to ensure that planned events take place as scheduled, Mind and Body Walking will notify you of cancellation as soon as possible if it is necessary due to dangerous and/or unsuitable conditions for the event activity. In the event of cancellation you will be offered the choice of a full refund or a place on an alternative course. Mind and Body Walking can not be held liable for any accommodation / travelling costs due to cancellation.

Course Alterations 

While every reasonable effort will be made to run courses as planned, Mind and Body Walking reserves the right to make changes to the course due to weather conditions, participant fitness or as a result of risk assessments on the day. All participants should be aware that minor alterations to routes or timings may sometimes be necessary. No refund will be issued if you decide not to participate due to poor weather conditions.

Risks

All events take place in the outdoors, sometimes in a hills and mountain environment. There are risks involved in any outdoor activity on rocky and uneven ground. By booking a course with Mind and Body Walking, you are accepting these risks and agree to submit a Medical Declaration Form and an Informed Consent Form after booking.

British Mountaineering Council Participation Statement

“The BMC recognises that climbing and mountaineering are activities with a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own involvement. By booking a course you are aware and accept these risks and will be responsible for your own actions and involvement.” Mind and Body Walking will teach you how to identify and manage these risks, but can never completely remove them.”

Age restrictions

All participants must be aged 18 or over unless arranged in advance. Walking trips are open to families, however parents or legal guardians must accompany young people under the age of 18 and undertake full responsibility and supervision of them at all times.

Insurance

Mind and Body Walking has public liability insurance however it is recommended that you take out your own personal accident insurance and/or including booking cancellation insurance for all the courses. The British Mountaineering Council offers insurance that you may want to consider. Mind and Body Walking accepts no responsibility for loss or damage to personal possessions whilst you are attending a session.

Right of refusal

Mind and Body Walking reserves the right to refuse/bar a person from participating in an event if the participant is not properly dressed or equipped to enjoy the event safely. Mind and Body Walking will also refuse participation to those who may be under the influence of alcohol or drugs, or are exhibiting anti-social behaviour towards other participants or the instructor. This right of refusal also includes participants who fail to disclose a medical condition or disability when booking, that may restrict their participation.

Mind and Body Walking is not responsible for inconvenience or costs incurred as a result.

Complaints procedure

If you are not satisfied with your experience with Mind and Body Walking, please let your instructor or leader know as soon as possible on the day of the event, or contact Mind and Body Walking using the contact form on this website.  Please submit any complaints within 28 days after the event.
